Specialist, Sales Operations

OPPORTUNITY

The Specialist, Sales Operations is responsible for ensuring ANet can successfully do business by executing contract management processes. They create systems to ensure each partner has the necessary documentation for an executed contract and to pay for the full contract value. The Specialist, Sales Operations will report to the Director, Sales Operations.

TRAVEL

Occasional travel will be required; up to 2 times per year

RESPONSIBILITIES

Design and lead execution of all partner contracts

  • Set the vision, metrics, and goals for a strong contract process
  • Identify and recommend process efficiencies that reduce time from partner commitment to closed sale
  • Monitor contract execution to completion
  • Serve as the stakeholder liaison to resolve procurement and contracting requirements
  • Manage and facilitate sharing of procurement and contracting resources, including compliance documentation, registrations and accounts, process documents and organizational data 
  • Perform regular quality checks and reporting to ensure consistency and accuracy in data collected across the organization 
 

Lead operations, risk evaluation, mitigation, and management strategy for all partner invoicing requirements 

  • Steward, in partnership with ANet’s VP, Legal Counsel, negotiations with external partners to execute complex contracts and successfully and resolve procurement/contracting barriers
  • Coordinate post-award requirements including partner interviews, vendor setup, and scope finalization
  • Oversee the collection and submission of invoicing documentation including appropriate tracking of service metrics and compliance with internal/external reporting
  • Refine and implement effective practices to minimize risk and track actions to support internal accountability
  • Provide consistent status updates to internal stakeholders and track monthly invoicing needs with Accounts Receivable/Finance
  • Elevate risks and potential barriers to payment to senior leaders with recommendations on how to remediate
 

Manage RFP administration and utilization 

  • Ensure all RFP submissions are comprehensive, compliant with requirements, and submitted by the specified deadline
  • Oversee the gathering of necessary information for RFPs from various internal teams
  • Lead the Partnership Success team to utilize pre-approved vendor status in both local and national outreach initiatives
  • Develop and maintain effective RFP knowledge management systems

SKILLS & COMPETENCIES

To be successful in this role, candidates must demonstrate the following:

  • A minimum of  3-4  years of complex project management, procurement, and/or contract management experience
  • Experience working in entrepreneurial, collaborative, and fast-paced environments. You proactively request help as needed to overcome obstacles and ensure project goals and timelines are met. 
  • Ability to receive and implement feedback, be attentive to details, and be timely on deadlines
  • Ability to learn new technology platforms at an accelerated pace 
  • Ability to seize opportunities to solve challenges and improve processes
  • Ability to produce concise, professional writing and communicate with precision
  • Ability to interpret complex data sets and information to extract sophisticated insights and design well-reasoned, logical solutions
  • Ability to effectively manage a direct report and develop others to do their best work

Preferred skills:

  • Experience working in an operations or sales support role within the K-12 education sector and/or within a nonprofit organization
  • Experience leveraging Salesforce and/or other internal systems that support customer relationship management

The salary range for this position is between $65,769.60-$97,593.60. New hires will start between the range minimum and midpoint ($65,769.60-$81,090.00) based on qualifications assessed during the hiring process, past experience, and internal equity. In order to uphold our commitment to transparent, equitable, competitive, and sustainable compensation, ANet does not negotiate pay.
